Privacy Policy
Short version: the agency you work with is in charge of your data; we only process it for them.
1. Who we are and who is responsible
Gathered Docs is a service for offices that collect documents from their clients, such as insurance agencies and mortgage loan officers. The office that sent you a link decides what to collect and for how long; Gathered Docs processes the data on its instructions.
2. What we collect
Your name, email, phone number and language, as entered by your agency; the photos, documents and answers you send; when you open an email or the page; the kind of device you used to upload.
3. What we do with it
Show it to the office that asked, so they can do what you sent it for. Send you the request and reminders by email, and let you stop them at any time. Nothing else.
4. Visits to our website
We count visits to our public pages (the homepage, the sample, sign-up and these policy pages) with our own counter. It sets no cookie, stores no IP address, does no cross-site tracking and honours Do Not Track. It never runs on a client's upload link or inside the app.
5. The iPhone app
The Gathered Docs app for iPhone is for agency staff, not clients. It shows the same account and the same data as the website, nothing more. A staff member who turns on notifications gets a short note on their phone when a client finished a checklist, asked a question or needs a call. The note carries the client’s name and the checklist’s name, never a photo, a document, an answer or the words of a question. To deliver it we keep that phone’s push token and send the note through Apple. We delete the token when they sign out on that phone or when Apple tells us it no longer works. The Face ID or passcode lock is a setting on the phone, and the phone does the check: we never receive biometric data. The app has no ads, no tracking and no third-party analytics.

Stop reminders for one request or all email from an agency from any email’s footer. Ask your agency to delete your files or your whole record; they can do it immediately.
